What is the tenant satisfaction survey form template?

Keeping good tenants costs less than finding new ones. A regular tenant satisfaction survey shows a landlord or property manager where service is slipping — slow repairs, unanswered messages, damp or pests — while there's still time to fix it.

This template asks about repairs in the last year and anything still outstanding, how easy you are to contact and how fairly tenants are treated, the condition of the home and shared areas, current problems such as damp, mould or leaks, and value for money. It closes with overall satisfaction, whether they plan to stay, and a recommend score.

The address is optional, so tenants can stay anonymous, and anyone who wants contact can leave details. Each response is saved as a PDF in your FileIt vault.

1 Your home

An optional property address or unit (so you can follow up), type of home, how long they've lived there and household size.

2 Repairs & maintenance

A required yes/no asks if they've requested a repair in the last 12 months; yes opens a grid rating ease of reporting, first response, time to complete, quality, contractor courtesy, updates and first-time fix. Another required yes/no asks whether any repair is outstanding, with a description if so.

3 Communication & service

Seven agreement statements cover being easy to contact, prompt replies, fair treatment, notice before visits, understanding rent and deposit terms, handling complaints and being listened to. Tenants choose how they prefer to hear from you.

4 Your home's condition

A grid rates overall condition, heating and hot water, safety and security, shared areas, outdoor areas, rubbish and recycling, and parking. A checklist asks about current problems — damp or mould, pests, leaks, heating, draughts, noise, security — and a required star rating covers value for money.

5 Overall

A required 1–10 satisfaction score, whether they plan to stay when the lease ends (with the main reason if not), a 0–10 recommend score and comments. An optional contact request reveals name, email and phone.

  • Follow up quickly on any outstanding repair or damp and mould report
  • Contact tenants who say they plan to leave before their notice date
  • Keep urgent repairs out of the survey — point to your emergency line
  • Share a short summary of what you'll improve with all tenants
  • Run it at the same time each year to compare
  • Look at repair ratings by contractor

Can tenants answer anonymously?

Yes. The address and contact details are optional.

Should tenants report repairs through this survey?

It asks about outstanding repairs, but urgent problems should go through your normal repair or emergency process. The cover says so.

Can I use it for commercial tenants?

It's written for residential tenants. You can edit the home type and condition questions for commercial units.

Do tenants need an account?

No. They open the link you send by email, text or letter.

Can I see who plans to move out?

Only if they leave contact details or an address. Otherwise you see the overall share planning to leave.
