What is CH03 Change a secretary's details?

Form CH03 tells Companies House that the details of a company secretary who is an individual have changed. It covers two kinds of change: a new name (after marriage, for example) and a new service address, the address shown on the public record. A corporate secretary's changes go on form CH04, and a director's on CH01.

You identify the secretary by their details as currently held on the register, give the date of the change, then fill in whichever of the two change sections applies. Someone with authority to act for the company prints their name to authenticate it. No signature is needed on this edition.

Who needs to fill out CH03 Change a secretary's details?

  • A UK company whose individual secretary has changed their name.
  • A company whose secretary's service address has changed, including a move to or from 'the company's registered office'.
  • Accountants and company secretarial agents keeping a client company's register current.
  • Not a corporate secretary (use CH04) or a director (use CH01).

  • After the secretary's name or service address has changed.
  • When you can't or would rather not use Companies House's online service.
  • Not when the secretary leaves (that's TM02) or a new one is appointed (AP03).

What you need before you start

  • The company number and the company name exactly as on the register.
  • The secretary's name exactly as currently on the register.
  • The date the details changed.
  • The new name and/or the new service address. The service address must be a physical location, not a PO Box, DX or LP number.
  • The name of the person authenticating the form.

How to fill out CH03 Change a secretary's details, step by step

1 Company details

Enter the company number (8 characters, like 01234567 or SC123456) and the full company name, as on the register.

2 Secretary's current details

The title (optional), forenames and surname as currently shown on the register. Companies House uses these to find the right appointment.

3 Date of change

The date the details changed. Then fill in the section for what changed.

4 Change of name

The secretary's new title (optional), forenames and surname.

5 Change of service address

The new address for the public record. It doesn't have to be a home address, and you can state 'The company's registered office'. A home address given here becomes public.

6 Authentication

The person authenticating prints their name: a director, the secretary, a person authorised under section 270 or 274 of the Companies Act 2006, or one of the office-holders listed on the form.

Common mistakes to avoid

  • Giving the secretary's new name in section 2. Section 2 is the name currently on the register; the new name goes in section 4.
  • Leaving out the date of change.
  • A service address that is a PO Box, DX or LP number.
  • Using CH03 for a corporate secretary (CH04) or a director (CH01).

After you fill it out

Print the CH03 and go through the checklist on its last page. Companies House says you can upload certain forms instead of posting them; if you post it, send it to the address for where the company is registered (see gov.uk/companies-house/offices). FileIt doesn't send it for you.

Can one CH03 change both the name and the address?

Yes. Fill in section 4 for the name and section 5 for the service address on the same form, with one date of change.

Does the secretary have to sign it?

No. The form is authenticated with a printed name and says you do not need to include a signature.

Can the service address be the registered office?

Yes. The form lets you state 'The company's registered office' instead of an address.

Is CH03 for a corporate secretary?

No. The form says a corporate secretary's details are changed on form CH04.
