What is the nanny share agreement form template?

A nanny share can be a great deal for two families and their nanny, but it has more moving parts than ordinary childcare: two homes, two sets of children, one salary to split, and plenty of situations — a sick child, a family holiday, someone moving away — where the families need to have agreed the answer in advance. This template walks both families through those questions together.

It records each family's contact details and children, the nanny, the schedule and guaranteed weekly hours, where care happens (including how you'll alternate homes), the pay basis and gross rate, how pay and shared costs are split, and who handles payroll and tax. The duties page covers what the nanny does, outings and transport, paid holiday and sick days, what happens when one child is ill or one family is away, shared house rules, the notice period and a review date.

Both families sign at the end, and the finished agreement is saved as a PDF in your FileIt vault with a copy emailed out — a clear record to come back to when a question comes up six months in.

The nanny share agreement form, page by page

1 The families

Two matching sections, Family A and Family B, each ask for the parent or guardian names, email, phone, home address and the children in the share with their dates of birth.

2 Nanny & schedule

Record the nanny's name and contact details, the share start date and an optional trial period, the working days, usual start and finish times, and the guaranteed hours per week. Choose whether care happens at Family A's home, Family B's home, alternating between both, or somewhere else — alternating reveals a box to describe the rotation.

3 Pay & costs

Pick hourly, weekly or annual pay, enter the gross pay for the whole share and how often it's paid, then choose how it's split: 50/50, by number of children, by hours used, or a split you describe. Choose who runs payroll and tax — one family with reimbursement, each family separately, or a payroll service — and note the overtime arrangement and which costs, from food and outings to mileage and payroll fees, are shared the same way.

4 Duties & time off

Tick the nanny's duties, say whether outings are allowed (and if so, how the children travel), and set paid holiday days, whether public holidays are paid, who picks holiday dates and paid sick days. Required questions cover what happens when one family's child is ill and when one family is away or doesn't need care. Add shared house rules, the notice either family must give to leave, and a review date.

5 Sign

A note explains that this is a starting template and that employment, tax and insurance duties vary by place. Both families confirm the agreement, sign separately and date it.

Make the template yours

  • Change the currency on the pay question to the one you pay in
  • Add a third family section if your share includes three households
  • Add a nanny signature and contact questions if you'd like the nanny to countersign
  • Add questions on car insurance, mileage rates or a nanny's own children if relevant
  • Edit the duties list to match what your nanny actually does
  • File each signed agreement in a shared childcare folder in your vault

Tips for a better nanny share agreement form

  • Fill this in together, on one screen, rather than one family drafting it alone
  • Talk through the 'one family away' question in detail — it's the one shares most often disagree on
  • Agree the pay split on the gross cost, including any employer taxes, not just the nanny's take-home pay
  • Check your local rules on employing a nanny before you start — this agreement is between the families, not a contract of employment
  • Set a review date a few months in, when you know how the share is really working

Every response becomes a PDF in your vault

The signed agreement is saved as a PDF in the vault folder you choose, and the person who submitted it gets a copy by email. Forward the PDF to the other family, or share the vault folder with them.

When something changes — new hours, a pay rise, a new family joining — fill the form in again and sign a new version. Each version is kept as its own dated PDF, so you always know what was agreed and when.

Nanny share agreement form: frequently asked questions

Is this nanny share agreement template free?

Yes, it's included in the Forms app on every FileIt account, including the free plan, and every question can be edited.

Choose 'By number of children' in the split question, or choose 'Another split' and describe it — for example 60/40.

Does the nanny need a FileIt account?

No. Nobody needs an account to fill in or sign the form from a shared link.
