What is Kansas Form K-4?

Kansas Form K-4 (Rev. 7-24) tells your employer how much Kansas income tax to withhold from wages you earn from Kansas sources. The top half is a Personal Allowance Worksheet you keep; the bottom half is the certificate you give your employer, with your allowance rate (Single or Joint), your total allowances, any extra amount per paycheck, or a claim of exemption.

The form notes that your Kansas status of Single or Joint may differ from the status on your federal W-4, and that if your employer doesn't receive a K-4 from you, it must withhold at the Single rate with no exemptions.

FileIt works through the worksheet with you, adds lines B through E for you, and prints the answers on both the worksheet and the certificate of the official PDF. FileIt never files anything: you give the certificate to your employer.

How to fill out Kansas Form K-4, step by step

1 Line A: allowance rate

Mark Single if you are a single filer, or if you are married and your spouse has income. Mark Joint if you are married and your spouse does not have income. The mark prints on the worksheet and on certificate line 3.

2 Lines B to E: allowances

Line B: enter 0 or 1 if you are married or single. Line C: 0 or 1 if you are married, have only one job and your spouse does not work. Entering 0 on either may help you avoid having too little tax withheld. Line D: 2 if you will file as head of household. Line E: the number of dependents you will claim, not counting yourself, your spouse, or dependents your spouse has already claimed on their K-4.

3 Line F: total

FileIt adds lines B through E. The total should not exceed the total exemptions you claim under Exemptions and Dependents on your Kansas return. It prints on the worksheet and as certificate line 4.

4 Line 5: extra withholding

Optionally enter an additional amount to withhold from each paycheck, for example if you have non-wage income such as interest or dividends. The form also suggests Kansas estimated payments (Form K-40ES) for that.

5 Line 6: exemption

You may write Exempt only if last year you had the right to a refund of all Kansas income tax withheld because you had no tax liability, and this year you expect a full refund for the same reason. The Kansas Department of Revenue receives your federal W-2 forms for all years claimed exempt.

6 Sign and hand it in

Sign and date the certificate, cut along the dashed line and give the lower portion to your employer. The employer adds its name, address and EIN.

Common mistakes to avoid

  • Choosing Joint when your spouse has income. The form says to mark Single in that case.
  • Claiming dependents on line E that your spouse has already claimed on their own K-4.
  • A line F total larger than the exemptions you will claim on your Kansas return.
  • Writing Exempt without meeting both conditions for exemption.
  • Claiming head of household while married. The form says head of household is generally only for unmarried filers.

After you fill it out

Give the signed certificate (lower portion) to your employer and keep the worksheet. FileIt keeps the whole page in the person's vault folder.

Your employer may be required to send a copy of the certificate to the Kansas Department of Revenue, which may review the allowances or exemption claimed.

Re-figure your withholding when your situation changes, and file a new K-4.
