What is the security deposit return request form template?

Deposit returns go wrong in small ways. The landlord has no forwarding address, so a check goes to the empty flat. The bank details arrive in a text message and get lost. A tenant disagrees with a deduction but only says so on the phone. Every one of those delays the refund and adds friction at the end of a tenancy that may otherwise have gone well.

This one-page template puts the essentials in a single, dated request. The tenant gives their name and contact details, the "Rental property address", the landlord or management company, the deposit paid, the move-out date and when keys were returned. Optional questions capture a deposit scheme or reference and whether a move-out inspection took place. The forwarding address is required.

"How would you like your deposit returned?" then branches. Bank transfer asks for the name on the account, bank, account number and routing number or sort code; a payment app asks for the app and username; a check goes to the forwarding address. Finally, "Have you been told about any deductions?" — choosing "Yes, and I'm disputing some or all of them" reveals the amount in dispute and an explanation box. Tenants can attach photos or documents, then sign. Each request is filed as a PDF in your FileIt vault.

The security deposit return request form, page by page

1 Deposit return

Name, email, the property and landlord, "Deposit paid" and "Move-out date" are required; phone, "Date keys were returned", "Deposit scheme or reference" and "Was there a move-out inspection?" are optional. The forwarding address follows. The refund method decides which payment details appear: four bank questions, one payment-app question, or none for a posted check. "Have you been told about any deductions?" offers none, agreed, or disputed; a dispute asks "Amount you're disputing" and "Which deductions do you disagree with, and why?", with examples in the help text. Up to eight photos or documents, a signature and the date finish the page.

Make the template yours

  • Change the currency on the deposit and disputed amount
  • Replace the payment options with the ones you actually use
  • Edit the bank questions for your country — IBAN, BSB or sort code
  • Add a link to your deposit protection scheme in the cover text
  • Send requests to a restricted vault folder, as they hold bank details
  • Add a dropdown of your properties to save typing

Tips for a better security deposit return request form

  • Ask for this form before the move-out date so the forwarding address is ready
  • Compare disputed items with the move-in report and photos
  • Itemise any deductions in writing, with costs
  • Check the deadline for returning deposits where your property is — many places set one
  • Confirm the bank details by phone before sending a large transfer

Every response becomes a PDF in your vault

The request is filed as a PDF in the vault folder you choose, with any photos attached, and you're emailed. The tenant can receive a copy of their request for their own records.

In the Responses table, see which requests dispute deductions and export to CSV for your accounts team. FileIt doesn't make payments — you send the refund from your own bank or app.

  1. Start from this template. It opens in the FileIt Forms designer — change any question, add pages, set the rules for when questions appear.
