What is a study abroad participation agreement?

A semester or summer abroad changes students' lives, but it also puts them under another country's laws, health system and emergency services. Programs need students and families to understand that before departure: local law applies, the program can't get anyone out of trouble with the police, and insurance has to cover evacuation as well as treatment.

This template records the program, destination, dates, housing and fees, with editable refund terms. It sets conduct rules, including local laws and no driving, and adds no-alcohol and no-independent-overnight-travel rules automatically when the student is under 18. It covers health disclosures, regular medicines, insurance, passports and visas, emergency contacts and consent to urgent treatment, a fair dismissal process with a safe journey home for minors, and a clear statement of travel risks with a release to the extent the law allows. The student, a parent or guardian and the program all sign; for an adult student the parent's role is limited to emergency and payment terms.

Study abroad participation agreement: frequently asked questions

Does a parent have to sign for an adult student?

The template has a parent signature for every student. For adults, it says the student makes their own decisions and the parent signs only as an emergency contact who shares the payment and emergency-cost terms.

What changes for students under 18?

The form adds a ban on alcohol even where the local drinking age allows it, limits overnight independent travel, and makes the parent's signature a full consent.

Does the program guarantee a visa?

No. The student is responsible for passports and visas, and the form says fees aren't refunded for a refused visa except as the refund terms allow.

Can a student be sent home?

Yes, for serious or repeated breaches or risky behaviour, usually after a warning. The student pays for the early journey, and a minor travels with or is met by a responsible adult.
