What is a group tour participant agreement?
A group tour sells a promise months ahead: these cities, these hotels, a guide throughout. Between booking and departure, prices move, hotels change and some travellers drop out. A participant agreement fixes what the price includes and leaves out, when the deposit and balance are due, and what happens when either side has to change or cancel.
This template names everyone on the booking and records the dates, a short itinerary and editable lists of inclusions and exclusions. It sets the deposit, the balance due date and an optional single supplement, and rules out surcharges after signing except new government taxes or fees. Travellers take responsibility for passports, visas and health documents, and the organiser can require travel insurance. Minor changes are allowed, but a significant change lets the traveller switch tours or cancel for a refund. There's an optional minimum group size, a conduct clause, an editable cancellation scale with name transfers, and refunds when the organiser cancels.

Tips before you send it
- Attach the full itinerary. The template refers to it, and it answers most questions before they're asked.
- Check whether your location requires tour sellers to be registered, bonded or to protect customer payments.
- Set the balance due date before your own supplier deadlines, so you know numbers before you're committed.
- If you require travel insurance, say so in writing at booking. The template lets you refuse a traveller without it.
Sign it online in minutes
- Fill in the blanks. Names, dates and amounts go straight into the agreement — the preview shows exactly where.
- Name who signs. Tick “This is me” for your own part. FileIt builds the PDF with every signature, date and initials box on the right line, and you can check or move anything before sending.
- Send it. Each signer gets a secure link and signs from any device — no account needed. The signed PDF, with an audit trail and a Certificate of Completion, is filed in your vault and emailed to everyone.
Group tour participant agreement: frequently asked questions
What happens if the itinerary changes?
Minor changes are allowed with notice. For a significant change before departure, the traveller can accept it, switch to a similar tour or cancel for a full refund of what they paid the organiser.
What if not enough people sign up?
If you set a minimum group size, the organiser tells travellers by the balance due date and offers another tour or a full refund.
Can a traveller give their place to someone else?
Yes, before the balance due date, paying only any extra supplier costs, as long as the new person meets the tour's requirements.
Does the organiser cover flights booked separately?
No. The template says the organiser isn't responsible for flights, hotels or other arrangements the party booked themselves.
Is the template free?
Yes. It's free with FileIt eSignature, and the traveller signs from the email link without an account.
