What is a adventure tour waiver?

Adventure travel takes people far from the nearest hospital, onto mountain paths, rivers and dirt roads, often with local suppliers you don't run yourself. Travellers who understand that before they leave home make better choices — about training, insurance and what to pack — and are less surprised when a leader changes the plan for safety.

This waiver names the tour, destination and dates and lists the main activities in your words. It states the fitness level the trip needs and asks the traveller to confirm they meet it and have taken medical advice. You choose whether travel insurance covering activities, evacuation and repatriation is required or strongly advised, and the traveller can add their policy. It explains that flights, hotels and local operators may be independent suppliers with their own terms, that the itinerary is a plan rather than a promise, and that a leader may stop someone from an activity or the tour. It sits alongside your booking terms, keeps rights under package travel and consumer law, and is initialled on every page.

Using the adventure tour waiver, step by step

1 Describe the tour

Your company fills in. Add the tour name, destination and dates, and list the main activities in your own words.

2 Set the fitness grade

Write the fitness level the trip needs — walking hours, altitude, pack weight — so the traveller confirms something specific.

3 Choose the insurance rule

Make travel insurance a requirement or a strong recommendation. Travellers can add their insurer and policy number now or later.

4 Send with the booking confirmation

Each traveller signs and initials every page online, you countersign, and the signed waiver is filed in your FileIt vault with the booking.

Tips before you send it

  • Send it well before departure, so travellers have time to arrange insurance and medical advice.
  • Make the fitness grade concrete — "6 to 8 hours' walking a day" is clearer than "moderate".
  • Package travel and consumer laws give travellers rights a waiver can't remove; check what applies to your trips.
  • Ask each traveller to sign their own waiver, rather than one person signing for a group.

Sign it online in minutes

  3. Send it. Each signer gets a secure link and signs from any device — no account needed. The signed PDF, with an audit trail and a Certificate of Completion, is filed in your vault and emailed to everyone.

Adventure tour waiver: frequently asked questions

Does this replace my booking terms?

No. It sits alongside them. Refunds and extra costs from itinerary changes follow your booking terms.

Are we responsible for airlines and local suppliers?

The form explains that independent suppliers have their own terms and that, to the extent the law allows, you aren't responsible for what they do. Package travel laws can make an organiser responsible in some places.

Can a traveller be removed from the tour?

Yes. A leader may stop a traveller from an activity or remove them if their health or conduct puts anyone at risk.

Is it for under-18s?

No. It's written for adult travellers. For a minor, use a parental consent alongside it.

Can travellers sign from abroad?

Yes. They sign from the email link on any device. The signed PDF includes an audit trail and a Certificate of Completion.
