What is a septic service agreement?

A septic system works quietly until it doesn't, and regular pumping and checks are the cheapest way to keep it that way. A septic service agreement sets a schedule so the owner doesn't have to remember, and makes clear what a routine visit includes and what it doesn't.

This template covers a single pump-out or a recurring plan for conventional tanks or aerobic and advanced systems. It records the system, where the tank is believed to be, an editable list of services at each visit, and the schedule. It sets the owner's access duties, hand digging to buried lids with an optional charge, and keeping the truck off the tank and drain field. After each visit the company gives a findings report, which the agreement explains is a record of what could be seen, not a guarantee or a sale inspection. It covers lawful disposal and required reporting, repairs quoted separately and approved first, the price per visit with optional extra-volume charges, price changes on notice, and ending the plan.

Tips before you send it

  • Many places license septic pumpers and haulers, and some require pump-outs to be reported. Check local rules for your area.
  • Suggest risers if lids are buried deep. They make every future visit quicker and cheaper.
  • Keep each findings report with the system's records. Buyers and lenders often ask for maintenance history.
  • A routine service report isn't a property-sale inspection. The agreement says so, and those inspections may need a specific standard.

Septic service agreement: frequently asked questions

How often should a septic tank be pumped?

It depends on the tank size, household size and type of system, and some places set minimum intervals. The agreement lets you choose a schedule, including one recommended at each inspection.

Is the findings report a septic inspection for a home sale?

No. It records what could be seen and measured during the service. Inspections for a sale, permit or lender are arranged separately.

Are repairs included?

No. Broken baffles, pumps, alarms, pipes and drain field work are quoted separately and done only with the owner's written approval, except temporary steps to make an open tank safe.

What if the property is sold?

The owner tells the company, and the agreement ends unless the buyer agrees to take it over.

Can I sign it electronically?

Yes. E-signatures are generally valid for service agreements in the US, UK, EU and Canada. FileIt keeps an audit trail with the signed PDF.
