What is a scholarship award agreement?
Foundations, businesses, community groups and schools give scholarships with good intentions and, often, very little paperwork. Then a recipient changes course, drops to part-time or withdraws mid-term, and nobody is sure whether the next payment is due or the last one should come back. A short award agreement that the recipient signs answers those questions in advance.
This template names the scholarship, the recipient, the institution and the program, and sets the amount for the academic year, whether it is paid to the institution or the recipient, and in one payment or by term. You choose a one-year or renewable award with a maximum number of years. Conditions cover enrolment, an academic standard, progress, notice of changes and any extra commitments. It covers reports and a release for the institution to confirm enrolment and grades, publicity with three levels of consent, repayment (none except mistakes, or repayment for terms withdrawn from), tax and other aid, no promise of employment, and privacy.

Tips before you send it
- If the recipient is under the age of majority, local law may limit what they can agree to alone; consider a separate consent signed by a parent or guardian.
- Paying the institution directly keeps the money for education and simplifies repayment questions.
- Use the grading terms of the recipient's institution when you set the academic standard.
- Tax treatment of scholarships, and their effect on other aid, depends on local rules — the agreement leaves that to the recipient, so tell them to check.

Scholarship award agreement: frequently asked questions
Does the recipient have to pay the scholarship back?
Only if you choose that. By default, money properly paid isn't repayable, except amounts paid by mistake or obtained by false information. The alternative applies when the recipient withdraws or stops meeting the conditions during a paid term: any refund the institution makes goes back to the provider, and the recipient repays money paid to them for that term and not spent on education, with a repayment plan on request and a discretion to waive it.
What if the recipient changes program or school?
They must tell the provider within 14 days, and the scholarship continues only with the provider's written approval, which won't be unreasonably refused.
Does the scholarship come with a job?
No. The agreement says it is an award for education, not a promise of employment, and doesn't require the recipient to work for or promote the provider.
Can it be signed electronically?
In most countries, including the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada, an electronic signature is generally valid for an agreement like this one. FileIt keeps an audit trail and a Certificate of Completion with the signed PDF as evidence of who signed and when.
Is this template free?
Yes. The template is free to use with the eSignature app in FileIt, and the people you send it to don't need a FileIt account to sign.
