What is a late rent notice?

When a rent payment is missed, a short written notice usually works better than a string of texts. It puts the figures in one place, gives the tenant a date to pay by and leaves a record that the reminder was sent.

This template sets out the unpaid period, the date it was due, any earlier arrears and a late fee only if your lease provides for one. It lists how to pay, invites the tenant to talk before the deadline if money is tight, and says plainly that it is a reminder, not a notice ending the tenancy. The tenant signs to confirm receipt without admitting the figures.

Using the late rent notice, step by step

1 Identify the tenancy

Enter the landlord or agent, the tenant, the property address and, if you like, the date of the lease.

2 Set out the figures

Give the unpaid period, its due date and amount. Add earlier arrears and a late fee only if they apply, then the total.

3 Say how to pay

Choose a pay-by date, list the payment methods with any reference, and give a contact for questions or a plan.

4 Send it

Sign and send. The tenant's acknowledgement and FileIt's audit trail record when the notice reached them.

Tips before you send it

  • Check the lease and local rules before adding a late fee — many places cap it or require a grace period.
  • Double-check your records first; a notice for rent that was actually paid sours the relationship quickly.
  • If the tenant asks for time, put any arrangement in writing, for example with a rent arrears repayment agreement.
  • Formal possession or eviction notices usually have a prescribed form. This reminder does not replace them.

Late rent notice: frequently asked questions

Is this the same as an eviction notice?

No. The notice says it is a reminder that rent is overdue and does not end the tenancy. Formal steps usually need a separate notice in the form local law requires.

Can I add a late fee?

Only one your lease sets out and the law allows. The late fee line is optional and prints only if you fill it in, with the lease clause if you give it.

Does the tenant's signature mean they agree they owe it?

No. The acknowledgement confirms receipt only, and the tenant can still query the amounts. That makes tenants more willing to sign it.

Can a rent reminder be signed electronically?

Yes, for an ordinary notice like this e-signing is widely accepted, including under the US ESIGN Act and UETA, eIDAS in the EU and UK law. FileIt keeps the audit trail and a Certificate of Completion with the signed copy.
