What is a hOA meeting proxy?
Association meetings regularly fail to reach a quorum, which means budgets, elections and rule changes get put off. A proxy lets an owner who can't attend be counted and have their say through someone they trust, often a neighbour or a board officer.
This form names the association, the owner and the unit, and the meeting by type, date and place. You appoint a proxy holder and optionally an alternate, then choose the kind of proxy: directed with room for judgement on new business, strictly directed, general, or for quorum only. You can write item-by-item instructions, set whether the proxy covers an adjourned meeting, and the form explains how to revoke it. The proxy holder signs to accept.

HOA meeting proxy: frequently asked questions
What's the difference between a directed and a general proxy?
A directed proxy tells the holder how to vote on listed items. A general proxy lets them vote as they think best. Some places restrict general proxies for certain votes, such as board elections.
Can I change my mind?
Yes. You can revoke it before it's used by writing to the association, giving a later proxy, or turning up and voting in person.
What if the meeting is adjourned?
You choose whether the proxy also covers an adjourned meeting or only the original date.
Will the association accept an e-signed proxy?
Many do, and some state laws expressly allow electronic proxies. Check your bylaws; FileIt's signed PDF shows who signed and when, with a Certificate of Completion.
