What is a goods release authorization?

When you sell stock that's sitting in a warehouse, send a haulier to pick up a container, or ask a depot to hand over a delivery to your customer, the warehouse or carrier needs written instructions from you before it releases anything. Without them, collections get refused at the gate, or worse, goods go to the wrong person.

This template gives the holder the shipment or storage references and a description of the goods, says whether all or part of them are to be released, and names the person collecting, their company, the ID they'll show (just the type and last few characters) and the vehicle. It sets the first collection date and an expiry date, says who pays outstanding storage, handling or freight charges, and leaves room for special handling instructions. The owner confirms it is entitled to give the instructions, and the warehouse or carrier signs to accept them.

Using the goods release authorization, step by step

1 Identify the holder and the goods

Name the warehouse or carrier and where the goods are, add your account number, the shipment or storage references and a description, and choose all or part.

2 Name the collector

Give the person collecting, the company they collect for, the type of ID they'll show and the vehicle registration if known.

3 Set dates and charges

Choose the first collection date and an expiry date, then who pays any outstanding charges, with a note if needed.

4 Add instructions and send

Add any special handling instructions and send to the warehouse or carrier for their signature.

Tips before you send it

  • Don't put a full ID number in the authorization. The type of ID and the last few characters are enough for a check at the counter.
  • Keep the validity window short. A tight expiry date reduces the risk of a release you no longer want.
  • Settle outstanding charges, or say clearly who pays them, before the collection date. Many warehouses won't release goods with unpaid storage.
  • For goods under customs control, release also needs customs clearance, which this authorization doesn't replace.

Goods release authorization: frequently asked questions

Can the warehouse refuse to release the goods?

Yes, if the collector's details don't match the authorization, the authorization has expired, or the holder has a right to keep goods until charges due to it are paid. The authorization doesn't change the holder's rights under its contract with the owner.

Who is responsible for the goods after collection?

Once the goods are released to the collector as authorised, the holder's responsibility ends, except for loss or damage that happened while they were in its care. The collector signs the holder's release record, noting quantity and condition.

Can I cancel the authorization?

Yes. The owner can cancel it by written notice to the holder at any time before the goods are released.

Is this the same as a vehicle release authorization?

No. This template is for goods and cargo. For a car held at a garage, impound lot or dealer, use the vehicle release authorization.
