What is a facility use agreement?

Schools, churches, community centres and clubs often have rooms that sit empty in the evenings, and plenty of local groups need them. A facility use agreement makes the arrangement predictable for both sides: which rooms, which nights, what it costs and who locks up.

This template lists the rooms included and those that aren't, sets a recurring schedule with start and end dates and any dates the building is unavailable, and lets you charge per session, per hour, per month or for the whole period, with an optional damage deposit. It covers adult supervision and safeguarding, a short conduct list, cleaning and locking up, liability insurance with a certificate, cancelling a single session and ending early, and makes clear it is a licence rather than a lease.

Tips before you send it

  • Attach your written facility rules and a floor plan, so the group knows exactly which doors and rooms are in bounds.
  • Ask for the insurance certificate before the first session, and log its expiry in FileIt so a reminder comes before it lapses.
  • If children take part, ask to see the group's safeguarding policy as well as the certificate.
  • Do a quick walk-through after the first session to catch cleaning or locking-up habits early.

Facility use agreement: frequently asked questions

Is this a lease?

No. The template says it is a licence to use the facility at scheduled times, with no exclusive possession or right to other parts of the building.

Can the facility cancel a session?

Yes, for things like a funeral, an emergency, repairs or the owner's own core activities. The group isn't charged for a session the facility cancels, and any payment is refunded.

What if the group's insurance lapses?

The facility owner may suspend or end the agreement at once if the group stops keeping the required insurance.

Can a church or school sign this electronically?

Yes, for an ordinary agreement like this in most places, provided the person signing is authorised. FileIt records who signed and when in the audit trail and the Certificate of Completion.
