What is a chimney service agreement?

A chimney visit is short, but it raises questions that matter: what was actually inspected, what happens if the sweep finds a cracked flue, and who decides whether the fire can be lit again. A chimney service agreement answers those questions in writing.

This template covers sweeping and inspecting chimneys, open fireplaces and wood, coal, pellet, gas or oil stoves. It records the appliance and fuel, an editable list of services, whether a camera inspection is included or priced separately, the visit date and an optional annual service. The customer agrees to let the fire go cold and clear the area; the technician protects the room and decides whether roof work is safe. A written report covers what was readily accessible, with an unsafe-to-use warning where needed. Repairs such as caps, liners, crowns and flashing are quoted separately. It sets the price, extra flues, free cancellation up to a number of hours, an optional late or no-access fee, and plain limits on what a sweep can promise.

Edit the pre-filled list of services, choose whether a camera inspection is included, set the visit date and whether to repeat it each year.

3 Price and cancellation

4 Send for signature

Enter the governing law and send it to the customer. You can send it when the visit is booked.

Tips before you send it

  • Remind the customer the day before not to light the fire. A hot appliance can't be swept and triggers the no-access fee if you set one.
  • Photograph anything you flag as unsafe. The report and the photos are the record if the customer chooses to use the appliance anyway.
  • Work on gas or oil burners and controls usually needs someone qualified for that fuel. The agreement keeps it out of scope.
  • Recommend smoke and carbon monoxide alarms in writing. The agreement says the customer should have them.

Chimney service agreement: frequently asked questions

What does the inspection cover?

The readily accessible and visible parts of the chimney, fireplace or stove on the day. Concealed parts may need further investigation, which the report recommends. A camera inspection can be included or priced separately.

What if the technician finds the chimney is unsafe?

They tell the customer straight away and in the report, and advise that the appliance shouldn't be used until it's fixed. The decision to use it stays with the customer.

Are repairs included?

No. Caps, crowns, flashing, dampers, liners, masonry and creosote removal are quoted separately and done only with the customer's written approval.

Does sweeping guarantee there won't be a chimney fire?

No. The agreement says cleaning and inspection reduce the risks, but no one can guarantee a chimney fire, smoke problem or leak won't happen.

Can I sign it electronically?

Yes. E-signatures are generally valid for home service agreements in the US, UK, EU and Canada. FileIt keeps an audit trail with the signed PDF.
