What is a swim lessons agreement?

Swim lessons carry more safety detail than most classes, and the conversation with parents needs to happen before anyone gets in the water. A swim lessons agreement records the level and schedule, what the course costs, and what happens to missed lessons — but it also collects an honest health declaration and makes clear that the instructor supervises the swimmer during the lesson, not before or after it.

This template covers group, semi-private, private and parent-and-child lessons, the level, day, time, pool and course block, the fee and whether pool entry is included, make-ups with a notice period and a per-block limit, cancellations by the pool, a health declaration with room for conditions and water confidence, illness rules, a short list of pool rules, the age below which a parent must stay in the building, hands-on support in the water, risk and emergencies, a photo choice, withdrawal and part-refunds.

Using the swim lessons agreement, step by step

1 Enter the swimmer

Add the parent or guardian, their mobile number for emergencies, and the child's name and age. Leave the child fields empty for an adult swimmer.

2 Set the lessons

Choose the lesson type and enter the level, day and time, the pool and the course block — for example 10 lessons from mid-September.

3 Fees and make-ups

Enter the course fee and when it's due, whether pool entry is included, and how missed lessons work: make-ups at the same level with notice, or none.

4 Health, supervision and send

Note any conditions or medication and the swimmer's confidence in water, set the age under which a parent must stay in the building, pick the photo option and send.

Tips before you send it

  • Ask about ear problems, epilepsy and breathing conditions directly — the health declaration names them so parents don't skip them.
  • Set the supervision age to match your pool operator's rules, which are often stricter than you'd guess.
  • If you hire pool time, check what the pool charges you before agreeing a refund policy.
  • Keep make-ups within the same block so classes don't overflow late in the term.

Swim lessons agreement: frequently asked questions

Does the swim school watch my child before and after the lesson?

No. Under the template the school supervises the swimmer only during the lesson. A parent or named adult brings them to the poolside and collects them, and for younger children stays in the building throughout.

What if the pool closes a lesson?

If the school or the pool cancels a lesson for maintenance, water quality or an incident, the school offers a make-up or a credit. Lessons stopped part-way for lightning or an evacuation aren't refunded.

Can my child move up a level mid-course?

The school assesses swimmers in the first lesson and may move them to a better-suited level. Swimmers move up when they meet the skills for the next level, not on a timetable.

Is a swim lessons agreement signed online valid?

In most countries, including the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada, an electronic signature is generally valid for an ordinary services contract like this one. FileIt keeps an audit trail and a Certificate of Completion with the signed PDF as evidence of who signed and when.

Can I change the wording?

You fill in the blanks and choose the options on the setup page; optional clauses appear only when you fill them in. If you need different clauses, draft your own document and upload it to FileIt eSignature instead — you can still place the signature boxes in the editor.

Is this template free?

Yes. The template is free to use with the eSignature app in FileIt. The parent you send it to doesn't need a FileIt account to sign.
