What is a responsible alcohol service acknowledgement?

Serving alcohol to someone underage or already drunk can put a venue's licence at risk and expose staff to fines or prosecution. If something goes wrong, a venue may need to show that its staff knew the rules. A signed acknowledgement is a simple record that each of them was told.

This form records the venue, the employee and their role, then sets out the rules: the legal drinking age and your own check-ID age, the IDs you accept and how to check them; refusing service to intoxicated guests and people buying for them, calmly and without force; last call; recording refusals, fake IDs and incidents in the log, and where it is kept; no drinking before or during a shift; any certification the employee must hold or complete by a deadline; and the venue's promise that no one is penalised for refusing service in good faith. The employee initials each page, and the manager countersigns.

Enter the legal drinking age where you are, choose the age below which staff must always ask for ID, and list the IDs you accept.

3 Add certification

5 Sign

Send it to the employee to initial and sign, then countersign. The signed copy is filed in your vault, ready to show an inspector.

Tips before you send it

  • Set your check-ID age well above the legal age. It removes guesswork for staff.
  • Read the log at every manager handover. A pattern of refusals from the same group is worth knowing about.
  • Back staff who refuse service, even when a regular complains. The form promises it, and it only works if it's true.
  • Certification rules differ by state, province and country. Check which course, if any, is required for your staff.

Responsible alcohol service acknowledgement: frequently asked questions

Does this replace alcohol server training?

No. It records that the employee knows your rules and will follow them. If your area requires a certificate, name it in the form and set a completion date.

Can staff drink after their shift?

You choose. The default bans alcohol before and during a shift, including breaks. The other option allows an end-of-shift drink only after clocking out, off the floor, and never before driving.

What should go in the incident log?

Every refusal of service, every turned-down or suspected fake ID, and every alcohol-related incident such as an injury, a fight, a guest who became unwell or the police being called, recorded before the end of the shift.

Do I need a new signature when rules change?

It's good practice. The form says the venue may update its rules, will tell staff, and may ask them to sign again.
