What is a layoff notice letter?
A layoff letter is often read at the kitchen table, more than once, by someone who has just had difficult news. It should answer the practical questions straight away: when is my last day, will I be paid for my notice, what is in my final pay, when does my health cover stop, and is there any chance of coming back? Answering them in writing also gives the employer a dated record that proper notice was given.
This template says up front that the decision is about the business, not the person, and gives your reason in your own words. You choose how the notice period works, then add only the final pay items that apply: pay in lieu, unused leave, severance. It sets the date benefits end, lists company property to return, and lets you offer a recall period during which the employee hears about their old role first. The employee signs to acknowledge receipt, and the letter says that signing doesn't mean they agree.

Using the layoff notice letter, step by step
1 Describe the change
Enter the employee's name and job title, then explain the business reason for the layoff in a sentence or two. Keep it about the work, not the individual.
2 Set the dates and notice
Add the last working day and the notice period, and choose whether the employee works their notice, is paid in lieu, or stays at home on full pay until the end.
3 Add the money and benefits
Enter pay in lieu, severance and unused leave only if they apply. Each prints on its own line. Set the date benefits end and add any detail about continuing cover or pensions.
4 Property, recall and send
List the property to return, choose whether to offer a recall period, add a contact and any support you are offering, and send. The signed letter is filed in your FileIt vault with its audit trail.
Tips before you send it
- Talk to the employee before the letter arrives. Many places also require consultation, or notice to a government agency, before a group layoff. Check this early.
- Choose who is laid off using fair, documented criteria, and keep those records separately.
- If you are paying severance in return for a release of claims, put that in a separate agreement and give the employee time to get advice.
- Be careful with the recall period: only offer one if you mean to honour it, and track the end date.

Layoff notice letter: frequently asked questions
What is the difference between a layoff letter and a termination letter?
A layoff letter is for ending a job for business reasons such as lack of work, and can include a recall period. A termination letter covers any reason for ending employment, including performance or the end of a fixed-term contract.
Does the employee have to sign it?
Their signature is only an acknowledgement of receipt, and the letter says it doesn't mean they agree or waive any rights. If they decline, you still have the FileIt audit trail of when it was sent and opened.
How much notice do I have to give?
That depends on the contract and on local law, which often sets a minimum by length of service and may add extra rules for larger layoffs. Enter the notice period that applies. This template doesn't decide it for you and isn't legal advice.
Can I deliver a layoff notice electronically?
In many places electronic notice and signatures are accepted for employment letters. If the contract or local rules say notice must be given in a particular way, follow that too. FileIt's Certificate of Completion records when the employee received and signed it.
