What is a customer advisory board agreement?
A customer advisory board (CAB) brings a handful of customers together a few times a year to react to your roadmap, test early ideas and tell you what's not working. It works best when both sides know the ground rules: the company is sharing plans that aren't public yet, the member is giving ideas the company wants to use freely, and the member's employer may have rules on gifts and travel.
This template sets the board's name and focus, a term in months and a meeting schedule, plus optional activities between meetings such as surveys or beta access. It says that the board is advisory only, that taking part creates no obligation to buy or renew and doesn't affect the member's existing contract, and that roadmaps aren't promises. It covers confidentiality both ways with a period you choose, a broad licence for the company to use feedback without payment while each side keeps its own IP, travel expenses, optional perks, adjusted if the member's employer or the law limits the gifts or travel they may accept, and whether the company may name the member publicly.

Using the customer advisory board agreement, step by step
1 Name the board and its focus
Give the board a name and describe what members advise on, such as the roadmap, pricing or the support experience. Add the member's organisation if they join as its representative.
2 Set the term and meetings
Enter the term in months and edit the default meeting schedule. Add any activities between meetings, like surveys, interviews or beta access.
3 Decide on expenses, perks and publicity
Choose how travel is handled, list any perks (or leave it blank for none), and choose whether you may name the member as a board member.
4 Pick confidentiality and send
Choose how long confidentiality lasts after the term, add the governing law, and send one agreement to each member.
Tips before you send it
- Keep perks modest. Many companies forbid employees from accepting gifts or travel from vendors, and a member's buyer role makes this sensitive.
- Send roadmap slides with a "Confidential — Customer Advisory Board" footer so members know what not to share.
- Tell members before recording a meeting. The agreement only allows recording when everyone has been told.
- If a member's employer has to approve, ask the member to check before signing rather than after the first meeting.

- Fill in the blanks. Names, dates and amounts go straight into the agreement — the preview shows exactly where.
- Name who signs. Tick “This is me” for your own part. FileIt builds the PDF with every signature, date and initials box on the right line, and you can check or move anything before sending.
- Send it. Each signer gets a secure link and signs from any device — no account needed. The signed PDF, with an audit trail and a Certificate of Completion, is filed in your vault and emailed to everyone.
Customer advisory board agreement: frequently asked questions
Does joining the board oblige the customer to buy or renew?
No. The agreement says taking part creates no obligation to buy, renew or recommend anything, doesn't change any existing customer contract, and won't affect the support the member's organisation receives.
Who owns the ideas members suggest?
Members give feedback voluntarily and the company may use and build on it without payment or credit, and owns what it develops. Members keep their own and their employer's IP and confidential information, and aren't asked to share anything they're not free to share.
Are the company's roadmap commitments binding?
No. The agreement says roadmaps and plans shared with the board may change and are not promises, so members shouldn't rely on them when making buying decisions.
Can a member leave the board early?
Yes. Either side can end the member's place on the board at any time by written notice. Confidentiality and the feedback licence continue afterwards.
Can this be signed online?
Yes. Each board member signs from an emailed link on a phone or computer without needing a FileIt account, and the signed PDF comes with an audit trail.
