What is a flooring installation contract?

Flooring jobs go wrong in a few familiar ways: the subfloor under the old carpet turns out to be uneven or damp, the boards weren't left to acclimatise, the doors now catch, or nobody agreed who was moving the furniture. A flooring installation contract sorts those out before the fitting day, for hardwood, engineered wood, laminate, vinyl plank, tile or carpet.

This template lists the rooms, the measured area and the product with its pattern and underlay, and records whether the installer supplies the flooring or fits what the customer has bought. It covers removing the old floor, the subfloor preparation included, a show-and-approve process for extra levelling with an optional rate, moisture readings, and a stop rule if old coverings may contain asbestos. It also deals with acclimatisation days, furniture, door trimming and underfloor heating, the fitting date and access, the price and deposit, late cancellation of the fitting day, clean-up, a fitting warranty kept separate from the product warranty, and care advice.

1 Describe rooms and product

List the rooms included and excluded, the measured area, and the product with colour, width, pattern and underlay. Choose who supplies it.

2 Cover what's underneath

Choose what happens to the old floor, edit the pre-filled preparation, and add a rate for extra levelling or board repairs if you use one.

3 Plan the fitting day

Set acclimatisation days if the product needs them, choose who moves the furniture, and enter the fitting date and expected days on site.

4 Price, warranty and send

Enter the price, an optional deposit and the fitting warranty in months, add the governing law, and send to the customer.

Tips before you send it

  • Moisture-test concrete before every wood or laminate job. Damp subfloors are a leading cause of failed floors and rejected warranty claims.
  • Confirm the laying direction with the customer on site before starting. It's hard to change once the first rows are down.
  • Don't lift old vinyl tiles or sheet flooring in older buildings until you're sure they contain no asbestos.
  • For fit-only jobs, check the boxes when they arrive. Visible faults found before fitting are the supplier's problem, not yours.

Flooring installation contract: frequently asked questions

What if the subfloor needs more work than expected?

The installer shows the customer and explains what's needed before fitting, since laying over a poor subfloor can void the product warranty. Extra work is charged at the rate you set, or priced and approved first.

Who moves the furniture?

You choose: the customer empties the rooms, or the installer moves ordinary furniture out and back. Pianos, aquariums, safes, electronics and fragile items are always moved by the customer.

Is the fitting warranty the same as the product warranty?

No. The installer warrants its fitting against lifting, gapping, squeaks, loose thresholds and failed adhesion for the months you set. The manufacturer's warranty on the product is separate and depends on the floor being cared for as instructed.

Can a flooring contract be signed online?

Yes. Electronic signatures are generally valid for home improvement and services contracts in the US, UK, EU and Canada. FileIt keeps an audit trail and Certificate of Completion with the signed PDF.

Does the customer need an account?

No. They sign from the email link. The template is free to use with FileIt eSignature.
