What is a rV rental agreement?

An RV is a car, a house and a plumbing system in one, and renters are often driving something that size for the first time. Owners worry about awnings left out on the highway, slide-outs, scraped roofs, a full black tank on return and a generator run all night. Renters worry about breakdowns hundreds of miles from home and surprise charges on the deposit. Both are helped by an agreement that names every one of those things.

This template covers motorhomes, campervans, travel trailers, fifth-wheels and pop-ups. It records the RV, what's included, and for trailers whether the renter tows or you deliver. A full walk-through and check-out sheet at pick-up records mileage, generator hours, fuel, propane and existing damage. It names the approved drivers and a minimum age, then sets the nightly rate, included mileage and generator hours with extra charges, cleaning fee and deposit. Use rules cover smoking, occupancy and emptying tanks at dump stations. It also deals with pets, breakdowns and emergency repairs, damage including awnings and slide-outs, insurance and deductible, and cancellation.

2 Dates and drivers

Set the pick-up and return dates, times and place, the approved drivers and the minimum age.

Tips before you send it

  • Confirm your insurance covers renting the RV out. Personal policies often don't, and peer-to-peer platforms may offer their own cover.
  • Do the walk-through slowly, and film it. Most damage claims come from awnings, slide-outs and roof scrapes the renter didn't know to watch for.
  • Photograph the odometer, generator hour meter, fuel and propane gauges at pick-up and return.
  • Leave a laminated quick guide inside: dump station steps, slide-out order, and your phone number.

RV rental agreement: frequently asked questions

How are mileage and generator use charged?

You set an allowance per night for each, totalled across the rental, and a price for each extra mile or kilometre and each extra generator hour. Leave them empty for unlimited, or for a trailer without a generator.

What if the RV breaks down?

The renter stops safely and calls you, and doesn't have repairs done without your approval except a small emergency repair needed to keep travelling safely, which you repay against a receipt. Breakdowns from normal wear are your responsibility; you repair or replace the RV where you can, or refund the nights lost.

Who pays for damage to the awning or slide-outs?

The renter is responsible for damage during the rental other than normal wear and tear, including awnings and slide-outs not retracted before driving. Where your insurance covers it, they pay up to the deductible.

Can an RV rental agreement be signed online?

Yes, in most places an e-signature is valid for an ordinary rental contract like this — in the US (ESIGN Act and UETA), the UK, the EU (eIDAS) and Canada. FileIt stores the signed PDF with an audit trail and a Certificate of Completion.

Is this template free?

Yes. It's free to use with FileIt's eSignature app, and your renter signs from a link without an account.
