What is a company property return demand letter?

When someone leaves in a hurry, equipment often leaves with them. A laptop sits in a drawer at home, a phone is still logged into company email, an access card still opens the side door. A friendly reminder sometimes works. When it doesn't, a clear written request with a deadline is the next step.

This letter records the date employment ended and any earlier requests, then lists each item with its serial or asset number, and reminds the reader that company documents and data are covered too. It sets a deadline, explains how to send items back — a prepaid courier box by default — and asks them not to wipe devices and to include passwords or PINs. Once everything is back, they sign to confirm no company data was kept. It says what may happen if items aren't returned, with an optional replacement value, and offers help if returning them is difficult.

1 Address the letter

Enter the former employee's name and address, the date employment ended, and any earlier requests you've made.

2 List the items

Write each item on its own line with its model and serial or asset number, so there's no doubt about what is missing.

3 Set the deadline and method

Choose a return date, edit the return instructions, name a contact, and add a replacement value if you want it stated.

4 Send for signature

Sign for the company and send. FileIt shows when the letter is opened and signed, and keeps the record in your vault.

Tips before you send it

  • Make returning things easy — a prepaid box gets better results than asking someone to travel to the office.
  • Disable accounts and access straight away, whether or not the devices come back.
  • Check whether the employee signed an equipment acknowledgement when they started; it helps if the matter goes further.
  • Check local wage rules before deducting the value of missing items from any money you still owe.

Company property return demand letter: frequently asked questions

Can I deduct the cost of unreturned items from final pay?

Only where the law allows, and usually only with the employee's prior written consent. The letter says the company may seek the replacement value where it is entitled to, without promising a deduction.

Why ask them not to wipe devices?

A device reset can destroy business records the company needs to keep. The letter asks them to return devices as they are and include any passwords or PINs.

What does the former employee sign?

They sign to confirm they received the letter and, once the items are returned, that they haven't kept any company documents or data.

Is this a legal demand?

It's a firm written request that sets out the facts and a deadline. If it doesn't work, you may want legal advice on the next step.
