What is a uniform issue and return agreement?
Uniforms add up. A few polo shirts, an apron and a fleece per person, across a busy café or a cleaning team with high turnover, soon becomes a real cost, and a lot of it walks out of the door when people leave. A short signed agreement at the start makes the expectations clear without souring anyone's first week.
This template lists every item issued with its size, quantity and replacement value, and confirms the uniform belongs to the company. You choose who launders it: the employee at home, the company, or the employee with a laundry allowance. Optional wearing rules sit alongside. Items worn out through normal use are replaced free, with an optional yearly allowance, and items lost through no fault of the employee are replaced free too. It sets a return deadline after leaving. If you want an agreed deduction for items not returned, write the terms in. Leave it empty and the agreement says no deduction will be made.

Using the uniform issue and return agreement, step by step
1 List the uniform
Enter the employee's name and the date, then one line per item with size, quantity and replacement value. Set the currency for the values.
2 Decide who launders it
Choose home washing, company laundering or home washing with an allowance, and add the allowance if you pay one. Add any rules about when the uniform may be worn.
3 Set replacement and return rules
Choose whether wear-and-tear replacements are unlimited or within a yearly allowance. Set how many days the employee has to return the uniform after leaving, and where to send it.
4 Deductions, then sign
Leave the deduction box empty for no deduction, or describe a capped deduction you both agree to. Send it, and both of you sign. The agreement is stored in your vault with the employee's other records.
Tips before you send it
- Wage deductions are tightly controlled in many places. Many require written consent before the deduction and forbid taking pay below the minimum wage. Check locally before adding a deduction.
- Reduce the value of older items in any deduction. A shirt worn for two years isn't worth its new price.
- Uniform that is also protective equipment, such as safety footwear, usually must be free. Record it on a PPE issue acknowledgement instead.
- Make returning easy: a labelled bag and a named person to hand it to work better than a policy nobody remembers.

Uniform issue and return agreement: frequently asked questions
Can I deduct the cost of an unreturned uniform from final pay?
Sometimes, if the employee agreed in writing beforehand and local law allows it, often with limits. The template only includes a deduction if you write the terms in, and it says deductions are made only as far as the law allows.
Who pays for laundering?
That is your choice: the employee washes it at home, the company launders it, or the employee washes it and receives an allowance. Pick the option that matches your practice.
What if an item is stolen or damaged at work?
The agreement says items lost or damaged through no fault of the employee are replaced free of charge. The employee just needs to report it promptly.
Can new starters sign this electronically on their first day?
Yes. Send it with the rest of their onboarding paperwork and they can sign on a phone or computer. FileIt keeps the signed copy and audit trail together in your vault.
