What is a sports coach agreement?
Grassroots clubs and schools run on coaches, many of them parents giving up their evenings for free. That goodwill is exactly why the arrangement should be written down. Players, parents and governing bodies expect clubs to know who is coaching, that the right checks have been done, and that everyone follows the same safeguarding rules. A coach also deserves to know what sessions they are taking on and how they will be paid or reimbursed.
This template works for volunteer coaches, self-employed paid coaches and coaches employed by the club. It records the sport, the teams or age groups, the session schedule and who the coach reports to; any fee and the expenses the club pays; whether the coach works with under-18s or vulnerable adults, with matching safeguarding rules on contact, messaging and lifts; the background check, qualifications and training required; a code of conduct; equipment and first aid; injury reporting; and notice to end, with immediate suspension for safeguarding concerns.

1 Name the club, coach and sport

2 Describe the coaching
List the teams or groups and the session days, times and venues, and who the coach reports to.
3 Set pay or expenses
Enter a fee and how often it is paid, or leave it empty for a volunteer. Add the expenses the club reimburses.
4 Add safeguarding requirements
Say whether the coach works with children or vulnerable adults, name the background check and qualifications required, the training to complete and your welfare officer.
5 Sign it
Send it to the coach for signature. The signed agreement is filed in your vault, ready for renewal next season.
Tips before you send it
- Don't let anyone coach young people until the required background check has come back. Have a qualified coach supervise them in the meantime.
- Use club group channels for messages to players, and copy parents in. It protects coaches as well as children.
- Paying a coach regularly for set hours can make them an employee, whatever the agreement calls them. Check before choosing self-employed.
- Keep a simple register of each coach's check, qualification and training expiry dates, and renew them before they lapse.

Sports coach agreement: frequently asked questions
Do volunteer coaches need an agreement?
It isn't always required, but most governing bodies recommend clubs record who volunteers, what checks were done and the conduct expected. The template says a volunteer receives no pay and that it is not intended to create employment.
Which background check should I enter?
The one your country, sport's governing body or school requires for the role, such as an enhanced DBS check in England and Wales or a state criminal background check in the US. The template leaves it as a blank for you to name.
Can the club suspend a coach?
Yes. The agreement lets the club suspend the coach while it looks into a concern, or end the agreement immediately for a safeguarding concern, a serious breach of conduct, or a failed or expired check.
Can a coach sign this online?
Yes. The coach gets a link by email and signs in the browser, with no FileIt account needed. FileIt keeps the audit trail with the signed PDF.
