What is a internship completion letter?
When an internship ends, the intern needs proof it happened: universities ask for it to award placement credit, and employers want to see more than a line on a CV. A completion letter written by the host organisation does that. It confirms the dates and the team, describes the projects in concrete terms and, if the supervisor wants to, says how well the intern did.
This template records the internship title, department, dates, hours and whether the work was on site or remote, plus the course it was part of. You describe the projects, the skills gained and any training completed, and can add the supervisor's comments and an overall assessment. You choose whether you are happy to give a reference or will only confirm the dates, and can add a verification contact. The intern signs to acknowledge the letter, so both sides keep the same signed copy.

Using the internship completion letter, step by step
1 Enter the internship details
Add the intern, title, team, dates, hours and where they worked. Name the course if the letter is going to a school or university.
2 Describe the work
Write the projects in specific terms, like a report used in a plan or a campaign they ran. Add skills and training if you want them listed.
3 Add an assessment, or don't
Supervisor comments and an overall rating are optional. Leave them empty for a factual letter.
4 Choose the reference line
Say whether you would give a reference or only confirm dates, and add a verification email.
5 Sign and send
The supervisor signs first and the intern acknowledges. Both get the signed PDF, and a copy is filed in your vault.
Tips before you send it
- Specific beats generic. "Built the onboarding survey used for 300 new customers" helps the intern far more than "was a great team player".
- Only include comments and ratings you would be comfortable defending. A reference has to be fair and accurate.
- Check what the university needs. Some want total hours, learning outcomes or a separate evaluation form as well.
- Send it before the intern's last day if you can. It is much easier while the work is fresh.
Sign it online in minutes
- Fill in the blanks. Names, dates and amounts go straight into the agreement — the preview shows exactly where.
- Name who signs. Tick “This is me” for your own part. FileIt builds the PDF with every signature, date box on the right line, and you can check or move anything before sending.
- Send it. Each signer gets a secure link and signs from any device — no account needed. The signed PDF, with an audit trail and a Certificate of Completion, is filed in your vault and emailed to everyone.
Internship completion letter: frequently asked questions
Is an internship completion letter the same as a reference?
Not quite. It confirms the facts of the internship and can include the supervisor's comments. A reference usually answers a specific employer's questions. The letter can say whether you're willing to give one.
Why does the intern sign it?
To acknowledge receipt, so both sides have the same signed version. The letter says the signature confirms they have read it, not that they agree with every comment.
Does it create any employment rights?
No. The letter says it records the internship, is not an offer of employment and does not change any existing agreement.
Can I send it to the intern by email for signature?
Yes. FileIt emails a signing link, the intern signs in the browser, and both of you can download the signed PDF with its Certificate of Completion.
